Bookkeeping cleanup in Waldorf, MD

Reviewing, organizing and correcting existing financial records so they accurately reflect business activity. Done remotely, month by month, for businesses across Maryland and DC.

Chapter 01

Signs the books have fallen behind

Nobody decides to let the books go. It happens when the busy season runs long, when a bookkeeper leaves without a handover, or when the business grows past the spreadsheet it started on. The signs are familiar: months that were never reconciled, the same payment entered twice, a pile of uncategorised transactions in QuickBooks, and a shoebox or a drawer where receipts are meant to be.

Another sign is the number that cannot be explained. Cash in the bank does not match cash in the file, or a balance on the books belongs to nobody anyone remembers. Those gaps are rarely fraud and almost never mysterious once someone works through them in order. They are simply what a stretch of unposted months leaves behind, and they are the reason a tax preparer, a lender or a new bookkeeper cannot start from your file as it stands.

How a cleanup is run, month by month

Cleanup is the work of reviewing, organizing and correcting existing financial records so they accurately reflect what the business actually did. It starts with gathering: bank and card statements for the whole period, loan statements, the receipts and invoices you still have, and a look at what is already in QuickBooks. Amy Guiriansoro then decides how far back the rebuild has to reach, and tells you plainly before she begins.

The period is rebuilt one month at a time, oldest first. Duplicates are removed, transactions are recategorised against a chart of accounts that fits your business, and each account is reconciled to its statement before the next month is opened. Working in that order matters, because an error in March that is left alone will quietly distort every month after it. Opening balances are checked and corrected last, so the file begins from figures that agree with the statements.

Where something cannot be resolved from the paperwork, you get a short, specific question, not a guess dressed up as a category. The whole job happens remotely, by appointment when a conversation helps, for businesses in Waldorf, White Plains and across Maryland and DC.

Chapter 03

Handing back a clean file, and keeping it clean

At the end you get a QuickBooks file that agrees with your statements for every month in the cleanup period, along with a note on what was found and what was changed. That note is the part people tend to value later: it tells your accountant what moved and why, so nobody has to rediscover it at tax time.

A clean file is easy to lose again, so the natural next step is a monthly routine that keeps it that way. The cleanup flows straight into monthly bookkeeping, and from there into proper statements and a budget if you want them. You can also take the clean file and keep the books yourself. Either way the starting point is finally one you can rely on.
